Responsibilities:Organize and schedule meetings and appointmentsMaintain contact listsProduce and distribute correspondence memos, letters, faxes and formsAssist in the preparation of regularly scheduled reportsDevelop and maintain a filing systemOrder office suppliesBook travel arrangementsSubmit and reconcile expense reportsGenerate reportsPrepare and monitor invoicesEnsure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniquesCarry out administrative duties such as filing, typing, copying, binding, scanning etc.Organize travel arrangements for senior managersBook conference calls, rooms, taxis, couriers, hotels etc. Take accurate minutes of meetingsCoordinate office proceduresReply to email, telephone or face to face enquiriesManagement of petty cash transactions.Controlling credit and ensuring debtors pay on time.Reconciliation of direct debits and finance accounts.Ensuring all payments amounts & records are accurate.Preparation of statutory accounts.Working with journals, sales & purchase ledgers and spreadsheets.Answer telephone calls and pass them onMaintain up-to-date employee holiday recordsPhotocopy and print out documents on behalf of other colleaguesUpdating internal HR databasesPreparing HR documentsOrganizing and maintaining personnel recordsRequirements:Education: Diploma / DegreeYear of Experience: 1-2 years, fresh grads are encouraged to applySkills: Basic use of Microsoft Office, familiar with social mediaHave own transport
