This position reports to the General Manager and the Global Head of HR (USA)
Duties and Responsibilities will include but not be limited to
Build strong partnership with the executive staff to ensure that managers and employees work collaboratively to achieve business goals across all business areas
Take a leadership role within the office, across all departments to promote the aims and goals of Senior Management
General office administrative work including procurement of stationery and office supplies, keeping stock of all related items, delivery advisory and logistics arrangement as and when required
Overall management of the office to ensure that a professional atmosphere is maintained at all times, escalating matters when necessary
Provide managerial and administrative support to the Company for its Penang operation
Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities
Coordinate all office related facilities, inventory, utilities, vendors, cleanliness and all IT related matters
Maintain and manage company petty cash float
Prepare monthly budget/ payroll for the company and forward to Senior Management for approval
Perform various day to day general administrative duties including documentation, filing, scanning, correspondence etc
Issue payments for necessary vendors and statutory bodies in a timely manner
Make travel arrangement and meeting schedule arrangement across multiple time zones for Senior Management and team members
Identify and coordinate with new and existing vendors and external parties while adhering to our code of Ethics
Prepare necessary reports for vendors, the Global Head of HR and internal department heads
Conduct and organize (soft skill) training for staff and organize company events
Managing of the recruitment process such as job advertisement, source for candidates and conducting interviews
Respond in a timely manner to inquiries regarding policies, procedures and programs
Manage employment relations and issues, escalating to Senior Management when required
Cultivate and foster the company's corporate culture
Coordinate with relevant departments in regards to the onboarding and off boarding procedures
Conduct Exit Interviews and share relevant information with Managers
Maintain employee database and regularly update employee information such as staff movement, new hires, promotions, performance reviews, termination, resignation, leave balance, insurance plan etc
Assist with relevant Government License renewals and applications
Maintain knowledge of legal requirements and government reporting, regulations affecting human resources functions to ensure policies, procedures, and reporting are compliant
General HR administration and management including, visa application, staff attendance, tax and other logistics arrangement
Handle any other ad hoc admin and or HR duties
Candidates must possess at least a Diploma, Bachelor’s degree in Human Resource Management, Business Studies/Administration/Management or equivalent
At least 1-2 years of working experience in a related field
Working knowledge of local Malaysia labour law (EA 1955), Industrial Law (1967) Trade Union Law is highly desirable
Proficient in MS Office
Able to compose and converse in English and Bahasa Malaysia; ability to converse and compose in other languages are advantageous
Able to work individually on assigned tasks as well as to accept direction on given assignments
Ability to maintain a high level of confidentiality
