The purpose of the Office Assistant is to attend to visitors and deal with inquiries on the phone and face to face, supplyinformation regarding the organisation to the general public, clients and customers, and to provide administrative support for the Kuala Lumpur Office (Setiawangsa Business Suite)DUTIES AND RESPONSIBILITIES:Reception Answering the phone Inducting guestsGeneral Administration Typing up minutes per requests and type and word-process various documents and electronic information Scanning Organising courier services and distributing mail and faxes Portal Management Ordering business cards and stationery and general company supplies Monthly travel reports Providing Amex and Expense support to ManagementStaff Mobility Booking flights, accommodation and hire cars Organising visas as required Inspecting and organising apartment leases, vehicle leases and utilities for seconded staffOffice management: Office Supplies and Cleaning issues Liaising with building managersFinance Assist Finance Manager with report generation Download and monitor new Purchase ordersProject Administration Assist with Document Control duties Liaise with suppliers on Purchase Orders Update Internal and External systems on ready dates Project Meeting minutes Report ready units in client logistics systems Assist project team in vendor trackingSKILLS AND EXPERIENCE: At least five years’ administrative experience Excellent interpersonal skills A professional personal presentation coupled with a strong customer service orientation Strong analytical and problem-solving skills Effective decision-making skills Effective verbal, written and listening skills A high level of attention to detail Solid computer skills including the ability to operate spreadsheet and word processing programs Experience working in a customer-focused and fast-paced professional environmentCandidate must possess at least Higher Secondary/STPM/"A" Level/Pre-U in Business Studies/Administration/Management or equivalent.Preferably Non-Executive specialized in Secretarial/Executive & Personal Assistant or equivalent.If interested, please contact Pn Noorliah via 016-9898829 or 03-60571984 / 1085 for further clarification
