Job Role



The Secretary / Personal Assistant is tasked to assist the CEO in a strictly private and confidential manner The tasks include managing his workload, providing on-hand assistance involving his tasks and acting as gatekeeper to CEO



Requirement, Skills and Qualification



Candidate must possess at least a Bachelor Degree / Post Graduate Diploma / Secretarial or any related fields

Excellent written and spoken in English and Bahasa Malaysia

3 years of experience as a Secretary / Personal Assistant or similar role in a corporate environment

Meticulous, responsible and able to work independently and effectively

Excellent interpersonal and communication skills

Excellent time management skills and ability to multi-task and prioritise work

Able to work beyond normal working hours

Strong organisational and planning skills

Knowledge of office management systems and procedures

Proactive problem solver

Flexibility and adaptability





Duties and Responsibilities



Performs diversified secretarial duties and provides general administrative and operations support ensuring all aspects of office is organized efficiently and effectively

Takes minutes of Company’s Senior Management Meeting and follow up action items on behalf of the CEO where necessary;

Provides & compiles company’s monthly project updates / report to the headquarters;

Drafts Letters / memo

Provide secretarial, clerical and administrative support & duties in the CEO’s Office;

Maintain the general filing system;

Plan and prepare meetings, internal / external correspondences, conferences & attended events of the CEO;

Filters general information and invitations to the CEO, screens telephone calls, enquiries and requests, and handles them when appropriate (where related to the CEO’s Office);

Manage stakeholders contacts / database;

Liaises / follow-up with all level and other key spokespeople / Head of Departments (“HODs”);

Supervises and update CEO’s schedule (organize and maintain diaries and make appointments);

Organizes CEO’s travel and required planning itineraries - Book travel arrangements and accommodation when necessary;

Coordinates the requirement / prepares speech for CEO in regards with the Company’s Event / Social Functions / Corporate Events and others where necessary;

Handles the CEO’s Office day-to-day administrative and operations matters including monitoring of deadlines and follow up of instructions of CEO when necessary

Maintains strict confidentiality in CEO’s Office

Performs other assigned tasks
