Job Description

Site Operations provides safe, healthy and reliable facilities to our workforce that are secure and fit for purpose. Site operations are also accountable for the business continuity program for Applied Intelligence.Due to the enabling and supporting nature staff that are employed in a site operations role must be driven to provide exceptional customer satisfaction. To do so site operations staff are generally those with energy and initiative who enjoy interaction with their stakeholders and have an ability to understand complex problems and design effective solutions. Site operations staff receives satisfaction in their job when tasks are complete to the best of their ability and meet the expectations of their stakeholders because they have delivered efficient and expedient results.Staff employed are often the face of the broader business and/or liaise with senior BAE staff and external visitors, clients or stakeholders. As such, staff are expected to always present themselves in a professional manner. This includes ensuring dress and appearance is always aligned with agreed professional standards; as well as liaison with others is undertaken with courtesy and respect.Working as an integrated component of site operations, the key priorities of the Site Operations Assistant (facilities) are to ensure the effective and efficient operation at designated location ensuring the provision of daily services and standards are maintained at the highest level as well as ensuring that all aspects of the company security and facility regime relating to the site are delivered.Due to the nature of the work there will be a requirement to be on the Emergency Call Out list and to work out of hours as required. Some weekend working will also be required from time to time.The Site Operations Assistant (facilities) will report to the Site Operations Coordinator or directly to the Site Operations Regional Manager. The scope of the role is focussed on the local office but will support all offices in region as part of the collaborative nature of our regional teams.Role Responsibilities:Maintain and where appropriate improve upon standards to achieve the highest quality service delivery for reception areas. Enhancing visitor experience as first point of contact with the company.Responsible for providing exceptional customer service to guests and clients at every engagement opportunity.Ensuring each client / guest receives a personal, professional “meet and greet” service / welcome.Ensuring all clients / guests receive high standards of hospitality including immaculately presented meeting rooms, supply of drinks and other provisions, provision of information, efficient arrival and departure process, escorting to meeting rooms, notifying internal clients of guest arrivals etc.Support all VIP visits ensuring the highest standards of customer service are delivered.Provide reception and switchboard telephony services, maintaining agreed standards.Support the Site Operations Coordinator in achieving the satisfactory operational delivery of maintenance, cleaning, catering, stock management etc.Ensuring delivery targets & KPI targets are achieved or exceeded.To work on other related duties as defined by the Site Operations Coordinator and/or Site Operations Regional Manager.Deliver internal and external mail services including sorting and distribution of incoming mail, franking of outgoing mail, maintaining sufficient consumables stock levels, maintaining franking machine and correct charging rates.Arranging catering and refreshments for meetings / functions as appropriate.Ensuring daily continual tidiness and cleanliness of the office area; coordinating with any external cleaners where necessary.Deliver excellence in relation to meeting room & hot desk booking services / couriers and taxis booking services / post services and maintain appropriate records for the same.Ad-hoc secretarial / administrative office duties as required.Producing occupation reporting relating to the use of office and meeting space.Maintain general tidiness and ensure sufficient stocks of office consumables, stationary and other company provided items throughout the building.Maintain a safe and operational working environment for all staff in respect of health and safety, office planning and welfare facilities.To operate as part of an integrated enabling services team, that includes Facilities, SHE, IS and Security to ensure that the services are delivered in an efficient and coordinated manner.Focus of role is on completing the above tasks faster and more efficiently, with less management oversight.Proactively looking to make improvements to current process.Requirement:Able to work on his/her own initiative and as part of a teamExcellent interpersonal skillsGood organisation and communication skillsGood working knowledge of Microsoft Office software packages.
